Facility Clerk - White Plains, NY

REPORTS TO:                Facility Manager

SUMMARY: 

Provides administrative support to Facility Manager, Maintenance and Housekeeping supervisors.

DUTIES & RESPONSIBILITIES:

  • Assist the Facility Management staff by communicating and monitoring move in and move out, room turnovers, room readiness, room inspection, daily safety inspections and internal transfer activities as required
  • Assist the Facility Manager by conducting and maintaining inventory controls and ordering supplies when needed
  • Distributes and monitors staff and resident keys, parking permits, remote controls and walkie talkies.
  • Distributes and monitors welcome packages for newly admitted residents
  • Works collaboratively with various Coachman Family Center departments.  Assists the Facility Manager by maintaining and closely following the storing of residents’ personal belongings.  Ensures packing and disposal of property are in accordance with agency policy.
  • Assists the Facility Manager and other department heads by maintaining facility records, generating daily, weekly, and monthly reports and data analysis needed by Westhab, Inc.
  • Assist the Facility Manager when needed by ensuring work order projects are assigned according to priority and all emergency repairs are documented as part of the procedure.
  • Other duties as assigned. 

EXPERIENCE, EDUCATION AND SPECIAL REQUIREMENTS:

High School Diploma/GED required.  Knowledge of Microsoft Excel, Access and Work.  Good phone and organization skills a must.  Ability to work in a team within a complex, high energy environment.
