JOB TITLE:           Program Assistant

DEPARTMENT:    Homeless Services

LOCATION:         103 Elm Street, Yonkers

REPORTS TO:     EHAP Service Coordinator

SUMMARY:  Westhab seeks a program assistant to support the operation of the Emergency Housing Apartment program.

DUTIES & RESPONSIBILITIES:

  • Ensures accessibility to program staff by continuous knowledge of their whereabouts.
  • Ensures that the front desk is covered Monday through Friday 9 am to 5 pm
  • Ensures that Westhab and DSS client databases are kept current on a daily basis.
  • Greets all clients and visitors reporting to office and directs them appropriately.
  • Ensures all program correspondence is handled appropriately.
  • Assists with ordering office supplies and maintaining office inventory.
  • Performs administrative duties such as filing and typing reports, letters, memos, etc.
  • Handles phones, faxes, and reservations for meeting rooms.
  • Assists the Service Coordinator with the preparation of various daily, weekly, and monthly statistical reports.
  • Coordinates transportation for clients to apartment viewings when possible.
  • Ensure the office bulletin boards are updated with employment/training opportunities and apartment listings on a weekly basis
  • Assisting community residents with referrals to housing resources.
  • Maintains Service Coordinator’s calendar.
  • Other duties as assigned.

EXPERIENCE, EDUCATION AND SPECIAL REQUIREMENTS:

Associates degree preferred and at least 2 years experience in customer service or clerical related position. Must have strong word processing skills; ability to learn new databases with ease; excellent oral and written communication; pleasant disposition; good customer service skills. Fluency in Spanish is preferred.
